AI Register
An AI register is a structured and maintained inventory of AI or algorithmic systems used, procured, developed, piloted, or authorized by an organization. It records information needed for governance, such as purpose, owner, provider, data, users, risk level, decision role, deployment status, safeguards, assurance evidence, review dates, and retirement or exit arrangements.
An AI register may be internal, public, or divided between public and restricted layers. A public register supports transparency, while an internal register provides the operational detail required for control and oversight. A static list is insufficient if systems, embedded AI features, owners, versions, or use cases change without being recorded.
Ministries cannot govern AI they do not know they are using. AI may enter through pilots, staff subscriptions, vendor updates, productivity suites, outsourced services, or tools embedded in existing platforms. A register creates visibility across headquarters and missions and helps identify duplication, unmanaged use, sensitive-data exposure, unclear accountability, and systems requiring assurance or withdrawal.
AI registers appear in public-sector transparency programs, internal governance processes, procurement portfolios, risk-management systems, technology inventories, model and algorithm documentation, audit preparation, and periodic reviews of authorized and unauthorized AI use.
